Our Policies

The journey of Hifz al-Quran demands unwavering consistency, discipline, and commitment. In order to support a steady pace of memorization and effective muraja‘at (revision), the following leave policy must be strictly followed by all students.

1. Sick Leave

  • Sick leave may be availed only if informed at least ONE hour prior to class time.
  • If not informed within this window, the leave will be recorded as Uninformed Leave.
  • Repeated Uninformed Leaves will be reviewed and may affect continuation in the program.

2. Casual Leave

  • Students are allowed up to 10 days of Casual Leave per calendar year (Moharram to ZilHaj).
  • Casual leave must be requested at least 1 working day in advance.
  • Miqat holidays and Sundays are excluded from the notice period count.
  • If leave is not informed within the required timeframe, it will still be marked under the selected category but also recorded as Uninformed Leave.

Note:
Once the allotted 10 days of Casual Leave are exhausted, any further leave must be requested through the Muhaffiz.
Such requests will be subject to review and will only be granted upon approval.

3. Emergency Leave

  • Emergency Leave will be considered for critical and unforeseen circumstances such as:
    • Death in the family
    • Medical emergencies
    • Other urgent and unavoidable matters
  • Must be informed at the earliest possible time, along with a valid reason.
  • Requests can only be submitted for the same day (current date).

4. Uninformed Leave

  • Will be marked by the Muhaffiz if no leave intimation is received in time.
  • Muhaffiz will be able to mark Uninformed Leave only for the current date.

Important Guidelines

  • The success of a student’s Hifz al-Quran journey relies on consistent attendance and uninterrupted progress.
  • Our Muhaffizeen put in significant efforts to maintain students’ progress in Muraja’at, Juz haali and Jadeed to ensure they stay aligned with the standards of Mahad al-Zahra.
  • Frequent or unplanned absences cause setbacks in memorization and long-term retention.
  • Ziyarat, leisure trips, or family travel should be planned in accordance with the Holiday Calendar shared at the beginning of each month.

We sincerely request all students and parents to treat attendance as a core part of this pious journey of Hifz al-Quran. Let us all strive to uphold this responsibility with utmost dedication and punctuality.

We seek your cooperation in adhering to this policy, which is designed to help every student achieve maximum success in their Hifz journey and attain Khushi Mubarak of Aqa Maula TUS.

At Qism al-Tahfeez, Mumbai, we strive to ensure that administrative processes are smooth and transparent so that students can benefit from uninterrupted Hifz learning. The following policy outlines the guidelines for Hub (fees) payment:

1. Hub Allocation & Intimation

  • Monthly Hub will be allocated on the 1st of every Hijri month.
  • An email notification will be sent to the parent/student with:
    • The allocated amount
    • The payment link
    • The due date for the payment

2. Payment Due Date

  • The last date to complete the Hub payment will be the 10th of every Hijri month.

3. Payment Reminders

To ensure timely payment, two reminders will be sent for convenience:

  • First Reminder: Sent on the 5th of the month
  • Final Reminder: Sent on the 9th of the month

4. Delay in Payment / Non-Payment

  • If the Hub remains unpaid beyond the due date (10th), the student’s Tahfeez classes will be placed ON HOLD.
  • This action is to uphold the nizam and ensure accountability.
  • Our intention is never to pause a student’s Hifz journey, but timely payments are essential for smooth functioning and resource allocation.

5. Reinstatement of Classes

  • Once the pending dues are cleared, classes will resume from the next available slot.

We request all parents/students to kindly adhere to the above policy. Your cooperation ensures that our administrative and muhaffezeen teams can focus wholeheartedly on the students' Hifz progress.

At Qism al-Tahfeez Mumbai, we are honoured to be granted permission to conduct on-site Tahfeez al-Quran classes. The barakah of learning and memorising the Qur’an in a physical, sacred environment is immense and time-tested. Physical on-site classes in the presence of Muhaffezeen, benefitting from an atmosphere of discipline, reverence, and spiritual companionship — are elements that are difficult to replicate in online classes.

We strongly encourage all students to attend classes on-site and immerse themselves in the priceless Hifz environment provided. This atmosphere not only strengthens memorisation but also instils adab, consistency, and accountability.

Provision for Online Classes

We do understand that certain unavoidable circumstances may arise. Therefore, the following policy applies to online class requests:

  1. Allowance:
  • Students may apply for up to 4 online classes in a month due to unavoidable circumstances (e.g., travel, temporary illness, emergencies, study leave, weather conditions).
  • These classes must be pre-approved by the Muhaffiz.
  • Requests Beyond the Limit:
    • If a student requires more than 4 online classes in a month, the student must personally discuss the situation with their Muhaffiz.
    • The Muhaffiz will evaluate the justification and, if deemed appropriate, will raise a request on behalf of the student.
    • This request will then be subject to approval by the Masool.
  • Long-Term Online Needs:
    • Our goal is to ensure that every individual — regardless of profession, routine, or location — has the opportunity to memorise the Quran.
    • In cases where on-site attendance is consistently not possible due to professional or logistical reasons, the student is encouraged to join alternative dedicated online programs such as Tahfeez Raza or eLearning, which are designed to accommodate such needs.

We hope this policy strikes a balance between flexibility and the high standards of discipline and excellence that our Hifz programs uphold.

If a student wishes to discontinue from Qism al-Tahfeez, Mumbai, the following procedure must be followed:

    Steps to Discontinue

    • Submit an official Discontinuation Request via the website.

    • Complete a short feedback form with a valid reason for discontinuation.

    • The request will be reviewed and processed by the administration.

    Important:

    • Submitting the request ensures Hub for the upcoming Hijri month is not allocated, thus avoiding any additional dues.
    • Discontinuing without submitting this request will be considered a policy violation.
    • If a student wishes to discontinue from the next month, the request must be submitted on or before the 25th of the current month. This ensures timely processing and allows us to allocate the vacant slot to new admissions.

We request all students and parents to handle this process with respect and seriousness. A formal and responsible exit preserves the sanctity of the program and helps maintain administrative clarity.
